ScotSwim Privacy Policy

Last updated September 21, 2026

ScotSwim is a team app for Alma College's swimming and diving program — a roster, schedule, training log, and coach communication tool for its athletes and coaches. This page explains what information the app collects, how it's used, and who can see it.

Who this app is for

Access is limited to Alma College swimming and diving athletes and coaching staff. There is no public sign-up — every account is created from a coach-issued invite link tied to a specific email address and roster spot.

What we collect

Account info — your email address and the password you choose (handled entirely by Firebase Authentication; we never see or store your password ourselves), plus your role (athlete or coach) and which roster entry the account belongs to.

Times, scores, and training data you enter — swim times or dive scores you log under My Events, and training volume (miles/minutes) you log under Training. This is entered by you, voluntarily, and is never inferred or collected automatically.

Coach-authored content — goals and prescribed workouts a coach writes for an athlete, team announcements, and posted workout sheets (which may include a photo the coach attaches, e.g. a lift-day exercise sheet).

Practice attendance — taken by coaches per practice day and stored in the team's database, so athletes can see their own attendance and streak and coaches see the same record on any device.

Lift check-ins — if you mark a lift session as done, that day is recorded against your roster entry and is visible to you and to the coaches.

Profile photo positioning — if you adjust how your profile photo is framed/cropped in the app, that adjustment is saved only on your own device, never uploaded anywhere.

What we don't do

Where data lives

Account and app data is stored in Google Firebase (Firestore and Firebase Authentication), a cloud database and login service. Some publicly available meet times and results are pulled in read-only from SwimCloud, a third-party swimming statistics site, purely for display — nothing from ScotSwim is sent back to SwimCloud.

Optional background app updates

The installed mobile app can receive content updates (not new native code, just refreshed app content) via Capgo, an over-the-air update service. This only delivers app updates — it does not collect personal data about you.

Your choices

Deleting your account

You can delete your ScotSwim account yourself, from inside the app: open the menu at the top left, choose Delete my account, and confirm with your password. No request or waiting period is involved — it happens immediately.

If you can no longer sign in, or would rather not use the in-app option, email scotswim0@gmail.com from the address your account uses and ask for it to be deleted. Requests are handled within 30 days.

What is deleted: your login credentials (email and password) and your personal account profile, including your role and the roster entry your account is linked to. Once deleted, the account can no longer be used to sign in and is not recoverable.

What is kept: team records that belong to the program rather than to your login — recorded times and scores, practice and lift attendance, and coach-written goals and workouts — are retained as part of the team's competitive history, exactly as they would be if a coach removed you from the roster. They are kept for up to five seasons, after which they are deleted. If you would rather they went sooner, say so in your email and we will remove them within 30 days.

Deleting some of your data without closing your account: you can remove individual items yourself at any time, from inside the app — a logged time or dive score under My Events, a training-log entry under Progression, or a goal you set — each has its own ✕. Anything removed that way is deleted straight away. To have other data removed while keeping your account, email the address above.

Children's privacy

ScotSwim is built for a college athletics program; it isn't directed at children, and accounts are only issued by a coach to enrolled college athletes and staff.

Changes to this policy

If this policy changes, the "last updated" date above will change too. Continued use of the app after an update means you accept the revised policy.
